Warehouse Product Terms

Terms specific to customers who use Smartifie Warehouse: what the stock records are, documents and limits concerning traceability systems.

Version v1.1 · Last updated: 4 November 2026

These Product Terms apply only to customers who use Smartifie Warehouse and supplement the Terms of Service. In every matter not covered here — including the limitation of liability — the Terms of Service apply.

1. The product is a tool. Smartifie Warehouse ("Warehouse") is software that helps you record receiving, put-away, transfers, lot and expiry tracking, FEFO picking, counts and returns in an append-only stock ledger.

2. The stock records are your business records, not statutory books. The stock balances, movements, count results and valuation reports Warehouse shows are your own business records, and their accuracy depends on what you enter. They do not replace an inventory book, an electronic inventory book or any other statutory book. The valuation report is a management report calculated by moving weighted average; it is not a valuation under tax law and may not be used as the basis of a tax return. Choosing the valuation method is for you and your accountant.

3. Documents are not despatch notes or invoices. Goods receipt, transfer and picking-and-packing outputs are not despatch notes, e-despatch documents or invoices. Issuing the statutory documents the law that applies to you requires is your responsibility.

4. Traceability and sector systems. Warehouse does not report to, or verify against, any traceability or serialisation system such as Türkiye's Pharmaceutical Track and Trace System (İTS) or Product Tracking System (ÜTS), the national medicines verification systems (NMVS) or the US DSCSA; the balances in it are not the stock of those systems. The product is not offered as a computerised system validated under good distribution practice (GDP) or any other legislation. Complying with storage conditions, the cold chain and reporting obligations is your responsibility.

5. No compliance or certification warranty. We do not warrant that {p} meets the form, content, retention or reporting requirements of any country's tax, commercial, customs or sector legislation. {p} has not been approved, registered or certified by any public authority or body. Using the product in line with the law that applies to you is your responsibility.

6. Employee data. You are the controller of your employees' data processed in Warehouse (user accounts and document activity records); in the cloud installation we process that data on your behalf as processor. Informing your employees is your responsibility.
