Smartifie Logistic is a shipping and dispatch application that turns customer orders into barcode package labels, shipment orders and scan-checked loading orders for manufacturers and distributors. It is used by dispatch clerks, warehouse staff and loading operators who otherwise track shipments in spreadsheets and print labels from a separate tool. Every package gets its own barcode label, and the loading screen only accepts packages that belong to the shipment orders being loaded, so a missing or wrong package is caught before the vehicle leaves. It runs as a Windows desktop app that keeps data on the device and as a web app that keeps data on Smartifie's servers; with an add-on the data can also live on your own server. The interface is available in Turkish, English and Spanish.

What you can do with Smartifie Logistic
- You can enter customer orders by hand on the Order screen or import them from an Excel (.xls, .xlsx) or CSV file using the downloadable template.
- Order import updates lines that already exist with the same order and line number, skips lines that already have a shipment order, and creates missing customer and product cards automatically.
- Each order line stores a Pkg/Unit value, the number of packages one unit of the product is packed in; it is copied from the product card and can be changed per line.
- Products in continuous units (kg, ton, gram, litre, ml, metre, cm, m2, m3) carry a whole-number second quantity (Quantity 2) that is calculated automatically from the product's conversion rate.
- Print Label produces a PDF with one label per package: the label count for an order line is the line quantity (Quantity 2 for continuous units) multiplied by the Number of Package value.
- Each Print Label button prints only its own order line and uses the package count currently typed in that row, so you can set a different package count before each print; Update saves it to the line and Apply Changes saves several edited rows at once.
- Every label has a unique Code 128 barcode that encodes order number, line number, product code, configuration code, quantity, packages per unit and the package's position, and prints Pack No as unit number, package number and packages per unit (for example 3 - 2 / 4).
- Show Barcode QR adds a QR code with the same content next to the barcode, so labels can be scanned with a phone camera.
- Label Settings lets you choose what each of the six label rows shows (model, product name, product code, type, HS code, customer title and its continuation, city, district, address, country, branch, order no, PO no or nothing) and switch branch, company logo, product photo and product guide QR on or off.
- Label captions are printed in the interface language with the English caption underneath, which keeps export labels readable for foreign receivers.
- Labels are 10 x 15 cm PDF pages shown in a preview window, from which you print to any printer or download the file.
- Shipment Order lets you set a Quantity to Send per order line, add lines one by one or with Bulk Actions > Add Selected, review them under Show Shipping Order and save them as one shipment order.
- Partial shipments are supported: an order line can be split over several shipment orders, and the app refuses any quantity that would make total shipments exceed the ordered quantity.
- Loading Order accepts scans from USB or Bluetooth scanners that type like a keyboard (Enter or Tab ends a scan) and from the device camera, with a torch button where the device has one.
- Several shipment orders can be loaded in one loading order; a scan is rejected when the barcode format is wrong, the package is not in those shipment orders, it was already scanned, or it belongs to another shipment order.
- A loading order can only be saved when every package is scanned; otherwise the app lists each missing package by product sequence and package sequence.
- If the connection drops during loading, Save as draft keeps the scanned work on the device; Load drafts reopens it and Move to system uploads it later.
- Despatch Notes builds a despatch note from one or more loading orders with unit prices, line and general discount, VAT rate, price-includes-VAT option, 12 currencies, carrier, vehicle plate and delivery address.
- A saved despatch note can be downloaded as a Turkish e-despatch (e-İrsaliye, UBL-TR) XML file, an A4 PDF and an Excel file; when its lines belong to several customers, one XML file is produced per customer.
- Photo Upload attaches photos to products, shipment order lines, loading order lines and users, and (administrators only) sets the company logo; one photo can be attached to several shipment or loading lines at once.
- Uploaded photos (JPEG, PNG, GIF, WEBP, HEIC up to 20 MB) are converted to JPEG, reduced to 1600 pixels on the longest side (512 pixels for logos and user photos) and stripped of location and camera data.
- In the cloud edition, photos and guide files added while offline are queued on the device and uploaded when the connection returns.
- Guide Upload links a user guide to a product as an uploaded PDF, DOC or DOCX file (up to 20 MB) or as a link to your own website, and the label can print it as a QR code.
- The Dashboard shows total order lines, produced, open orders, shipped, loaded, shipped weight and total CBM for a date range, each compared with the previous period, plus a shipment trend, order fulfillment, top customers and recent shipments.
- Reports offers Sales Report, Shipment Report and Loading Report with column filters, column hiding, table or card view and Export to Excel that keeps the active filters and visible columns.
- For each loading order, Reports exports a Loading List, Label Info, Loading Detail and Packing List to Excel; for each shipment order it exports a Shipment List.
- Product cards hold code, name, model, type, HS code, unit and second unit, packages per unit, unit price and currency, length, width and height, net and gross weight, photo and guide; CBM is calculated from the dimensions.
- Customers, branches and products can be imported from Excel templates, and orders, products, customers, branches and carriers can be exported to Excel.
- Carrier records store carrier code and name, vehicle plate, driver name, driver national ID, tax number and phone, and are picked on despatch notes.
- Unit Settings sets the default dimension unit, weight unit and currency, each of which can be locked for all products, plus the default VAT rate and price-includes-VAT choice for new despatch notes.
- Administrators decide who may export lists: non-administrators need the Export permission per area, and every export is written to the Data Export Log, kept for 90 days.
- In the cloud edition the account owner manages team members on smartifie.com and can hide individual app pages from a member.
- Database Transfer exports all business data as a ZIP of CSV or JSON files, moves device data to the cloud and downloads cloud data back to the device.
- With the Custom DB add-on, Database Transfer copies all data from the desktop app to your own server and switches the app to work on it.
- In the desktop edition, Backup takes automatic backups every chosen number of hours (default 24), keeps the 10 most recent and can switch the app to a chosen backup after copying the current data first.
- When the subscription or trial ends, nothing is deleted: the app becomes read-only and data can still be viewed and exported.
- Create Ticket sends a bug report or feature request with an optional screenshot (up to 10 MB) and lists your earlier requests with their status and answer.
- Every list screen can be shown as a table or as cards, and the web app switches to a phone layout with a bottom menu on narrow screens.
Screens and how to use them
Link Account and Sign In
The desktop app is activated by linking it to your Smartifie account, not by typing a licence key. The web app at logistic.smartifie.com signs you in with your smartifie.com account.
Steps
- Open the desktop app. On the screen "This device is not linked to a Smartifie account." press Link Account.
- Sign in to smartifie.com in the browser window that opens; no password is typed on the device.
- On the device administrator setup screen enter First Name, Last Name and Company Name, choose a Device Password, confirm it and press Complete Setup.
- From then on sign in with your e-mail and device password on the Sign In screen; this also works without internet.
Good to know
- The Device Password is not your smartifie.com password. It needs at least 8 characters with one uppercase letter, one digit and one special character.
- If the administrator forgets the device password, Set up device again on the Sign In screen verifies the account on smartifie.com and lets you set a new one. Business data is not deleted.
Dashboard
The opening screen summarises orders, shipments and loadings for a period you choose.
Steps
- Set Start Date and End Date.
- Use Filter By to switch the figures between Shipment Order and Loading Order.
- Click a row under Recent Shipments to open it in Reports.
Good to know
- Cards show total order lines, total produced, open orders, total shipped, total loaded, shipped weight and total CBM, each with the change versus the previous period.
- Charts: Shipment Trend, Order Fulfillment and Top Customers.
Print Label
Print Label lists customer order lines and prints one barcode label per package as a PDF. Use it after the order is entered and before the goods are loaded.
Steps
- Open Operations > Print Label and narrow the list with the funnel icons (Sales Order No, Customer Name, Branch, Product Code, Product Name, Is Produced?).
- Check the Number of Package box on the line: how many packages one unit of the product is packed in.
- To keep a changed value, press Update on that row, or Apply Changes in the column header to save several rows after confirmation.
- Press the red printer button on the line. The label PDF opens in a preview window.
- Print from the preview or download the PDF, then close the window with the x button.
Good to know
- Labels per line = order quantity x Number of Package. For continuous units such as kg, Quantity 2 is used instead of the quantity.
- The printer button uses the value currently in the box even if it was not saved. Loading Order expects the saved value, so press Update when the change is permanent.
- If both the quantity and Quantity 2 are fractional, the button is disabled and shows "Quantity2 is not a whole number". A package count of 0 is rejected.
Shipment Order
Shipment Order groups order lines that are ready to leave into one shipment order. It is the step between labelling and loading.
Steps
- Open Operations > Shipment Order. Open order lines are listed.
- Type the quantity to ship in the quantity box of each line you want to send.
- Press Add on a line, or tick several lines and choose Bulk Actions > Add Selected.
- Press Show Shipping Order to review the lines and their Quantity to Send; use Remove to take a line out.
- Press Save and confirm. The saved shipment order appears in Loading Order.
Good to know
- The total shipped quantity of a line can never exceed the ordered quantity; the remainder can be sent later in another shipment order.
- A yellow Add button means the order is not marked as produced. Pressing it asks whether to mark the order as produced.
- A shipment order can be deleted from Loading Order or Reports only while no loading exists for it.
Loading Order
Loading Order checks every package going onto the vehicle by scanning its label. A loading order is saved only when all packages of the added shipment orders are scanned.
Steps
- Open Operations > Loading Order. Shipment orders are listed with scanned and total quantity, gross weight and CBM.
- Press Add on one or more shipment orders.
- Choose Reader for a USB or Bluetooth scanner, or Camera on phones and tablets, and scan each label. "Ready to scan" shows that the barcode field has focus.
- Press Detail on a line to see which packages are scanned; packages can be ticked by hand, or use Scan All or Unscan All.
- Write Notes if needed and press Save to create the loading order.
Good to know
- Packages to scan per line = shipped units x packages per unit. Each label is one package.
- A scan is rejected when the format is wrong, the package is not in the added shipment orders, it was already scanned, or it belongs to another shipment order.
- If the connection is lost, Save as draft keeps the work on the device (shown as On this device). Load drafts reopens it and Move to system uploads it.
- If all packages of a shipment order were loaded earlier, the app asks whether to load it anyway.
Despatch Notes
Despatch Notes creates despatch notes (waybills) from loading orders, with prices and VAT, and outputs them as Turkish e-despatch XML, PDF or Excel.
Steps
- Open Operations > Despatch Notes and press Add New.

- Fill in Despatch Date, Actual Despatch Date and Time, Carrier, Delivery Address, Currency, General Discount % and Price Includes VAT.
- Adjust Quantity, Unit Price, Discount % and VAT % on the lines and press Save.
- Open the saved note and press e-Despatch XML, PDF or Excel.
Good to know
- The seller block comes from Settings > Seller Info. The XML is not produced until company title, tax/ID number, address, district and city are filled in.
- Lines for several customers give one XML file per customer; every line must then carry a customer code that matches a customer card.
- Draft notes can be updated or deleted. The PDF form is printed in Turkish and holds up to 33 lines on one A4 page.
Photo Upload
Attaches photos to products, shipment order lines, loading order lines and users, or sets the company logo. Product photos and the logo can be printed on labels; line photos open from Reports.
Steps
- Choose the Photo Type.
- Press Select and pick the record; for shipment and loading lines you can pick several.
- Choose Camera (phones and tablets) or File and check the preview.
- Press Upload.
Good to know

Good to know
- Required import columns: OrderNo, LineNo, Quantity, PackageQty and Unit; Unit2 and Qty2 for continuous units. Units are accepted by code or by name in any of the three languages.
- Missing customers and products are created automatically; an unknown branch code opens the branch entry screen.
- Expand a row to see its lines; edit or delete from the list, and use Export to Excel.

Frequently asked questions
Can Smartifie Logistic print a different package quantity on each label print?
Yes, per order line. On Print Label, type the package count in the line's Number of Package box and press that line's printer button; the PDF uses the number in the box. Press Update to save it so that loading expects the same count.
How many labels does Smartifie Logistic print for one order line?
One per package: quantity x packages per unit. For example, 10 units packed in 3 packages each give 30 labels numbered from 1 - 1 / 3 to 10 - 3 / 3. For lines in kg, litre or metre, the whole-number Quantity 2 is used.
Can I scan package barcodes with a phone camera?
Yes. Open the web app on a phone or tablet with a rear camera, choose Camera on Loading Order and turn on Show Barcode QR in Label Settings, because the QR code is what phone cameras read reliably.
Does it work with a USB barcode scanner?
Yes. Any USB or Bluetooth scanner that types like a keyboard works in Reader mode; the scan ends with Enter or Tab, and the screen shows when the barcode field is ready.
What happens if a package is scanned twice or belongs to another shipment?
The scan is rejected with a message. The app also rejects barcodes in the wrong format and packages that are not part of the shipment orders being loaded.
Can I save a loading order before every package is scanned?
No. Save lists the missing packages by product and package sequence. You can keep unfinished work with Save as draft and continue later with Load drafts.
Does Smartifie Logistic work without internet?
It depends on the edition. The desktop edition keeps data on the device and works offline. The cloud edition needs a connection, but loading drafts, photos and guide files are kept on the device until it returns.
Does it support partial shipments of an order?
Yes. Enter a smaller Quantity to Send on Shipment Order; the rest of the line stays open for a later shipment order. Total shipments can never exceed the ordered quantity.
Can it create Turkish e-İrsaliye (e-despatch) files?
Yes, it creates the UBL-TR XML file, one per customer, from a despatch note. It does not send the file to the tax authority itself; seller details must be filled in under Seller Info first.
Can I import orders from Excel?
Yes. Download the template on the Order screen, fill in OrderNo, LineNo, Quantity, PackageQty and Unit, and import .xls, .xlsx or .csv. Missing customers and products are created automatically.
Which printers can print the labels?
Any printer that can print a PDF, including thermal label printers. Labels are 10 x 15 cm pages, one label per page.
Can I put my logo, the product photo and a user manual QR code on the label?
Yes. Upload the logo and product photo on Photo Upload, link a guide on Guide Upload, then switch them on in Label Settings.
Does it calculate CBM and weights?
Yes. CBM is calculated from product dimensions, Loading Order shows gross weight and CBM per shipment order, and the Dashboard shows shipped weight and total CBM.
Can I control who exports data?
Yes. Administrators can always export; other users need the Export permission for that area, and every export or refused attempt is recorded in the Data Export Log.
What happens to my data when the subscription ends?
Nothing is deleted. The app becomes read-only; you can view and export your data, and saving works again after renewal.
Where is my Smartifie Logistic data stored?
On your device in the desktop edition, on Smartifie's servers in the cloud edition, in a private isolated database with the Private DB add-on, or on your own server with the Custom DB add-on.
Can I move my data from the desktop app to the cloud or to my own server?
Yes. Database Transfer moves device data to the cloud and back; with the Custom DB add-on the desktop app copies everything to your own server and switches to it.
Is there a free trial?
Yes, 15 days without a credit card. When it ends, the data becomes read-only instead of being deleted.
Which languages does Smartifie Logistic support?
Turkish, English and Spanish, chosen in Language Settings or detected automatically. Label captions also carry the English caption underneath.
What Smartifie Logistic does not do
- Labels have a fixed 10 x 15 cm layout with six configurable rows and a Code 128 barcode (plus optional QR); there is no free-form label designer and no direct printer-language (ZPL) output.
- A print run covers all packages of an order line; you cannot print labels for only some units of a line.
- The e-despatch XML is produced as a file; the app does not transmit it to the Turkish tax authority. The printable despatch note is in Turkish and fits 33 lines on one page.
- There are no invoice or proforma screens.
- There is no ready-made ERP connector; data moves in and out through Excel and CSV import and export.
- The unit list is fixed at 18 units; new units cannot be added from the interface.
- A guide uploaded as a file opens from the label QR code only for signed-in users of your account.
- Backup and restore screens exist only for data kept on the device, not for cloud data.
- Android and iOS store apps are not available yet; phones and tablets use the web app.
- Transfer to your own server runs only from the desktop app on a computer that can reach that server.
